Refund and cancellation policy
This policy covers consultations, dossier reviews, interview rehearsals, and sector orientation sessions offered by Smarttechnologies.
Eligibility
Refunds apply to prepaid fees for services that have not been delivered according to the rules below. Informational website browsing is free and not refundable.
Cancellation timeframe
- Cancel a live session (consultation, orientation, or rehearsal) at least 48 hours before the agreed start time for a full refund of prepaid fees for that session.
- Cancellations inside 48 hours are eligible for a 50% refund, or you may reschedule once within 30 days at no extra fee if a slot is available.
- No-shows without notice are not refundable.
Written dossier reviews
If you cancel a dossier review before we begin reading your documents, you receive a full refund. Once review work has started, fees are non-refundable for the portion already completed; unused prepaid add-ons may be refunded proportionally.
Work already started
For hybrid engagements (for example consultation plus dossier review), completed components are charged in full. Remaining unused components may be refunded or credited toward another consultation within three months.
Deposits
Deposits for in-person appointments in Waldaschaff are refundable under the same 48-hour rule. After the session begins, deposits are applied to the final fee and are not separately refundable.
Rescheduling
You may reschedule a live session once at no charge with at least 48 hours’ notice. Further reschedules may incur an administrative fee of €25, waived if we propose the change.
Non-refundable items
- Completed live sessions and delivered written plans or annotated dossiers
- No-shows
- Third-party costs you arranged yourself (travel, printing, language tests)
Refund process and timing
Email info@smarttechnologies.digital with your booking reference, name, and reason. We confirm eligibility within five business days. Approved refunds are returned via the original payment method within 10 business days of approval.
Exceptions
If we cancel a session, you may choose a full refund or a free reschedule. Statutory consumer rights under German law remain unaffected where they apply.
